Remedial work after an inspection: don't let it vanish

An inspection is wasted if the problems it finds are never fixed. A simple routine makes sure they are.

The compliance screen with certificates and follow-on work

There's a quiet failure that happens in a lot of buildings. An inspection is booked, carried out and paid for. The report arrives listing a few defects. Everyone feels good that the inspection happened. And the defects never get fixed.

It usually isn't negligence. The report arrived as an email attachment, somebody meant to deal with it, and then the phone rang.

Why remedial work goes missing

  • The report is a PDF and the defects are on page six.
  • Nobody owns the job of turning findings into work.
  • Some items need a decision about cost or responsibility first.
  • There's no list of open remedial items, just a pile of reports.

A four-step routine

1. Record each finding on its own

"Emergency light failed on second floor landing" is an item. The report is where it came from. Keep them linked, but separate.

2. Review and decide

A building manager looks at each item and decides: raise it as a job now, schedule it for later, pass it to someone else, or note it as advisory. The decision is recorded along with who made it.

3. Raise real jobs

Items that need doing become proper jobs with a building, an assignee and a due date. From there they follow the same process as any other job, safety check included.

4. Close the loop

When the job is closed, the original item is resolved, and you can show the whole chain from inspection to fix.

Why it's worth the effort

When an insurer, a client or an inspector asks what happened about the defects found last spring, you can answer in seconds instead of days. More importantly, the building is actually safer.

In OmniSchema, leftover items from a certificate are listed separately. A manager can approve one and raise it as a work order in a single step, picking the building, the assignee and the due date, and the job stays linked to where it came from.
