Off-the-shelf, custom-built or configurable: choosing software for an ops team

There are three broad ways to get software for your business. Each has its place.

Studio, where pages are built by dragging in blocks

When a growing operations business decides it needs proper software, there are broadly three routes. Each has real strengths and real downsides, and the right one depends on how you work.

Off-the-shelf

A ready-made package built for your industry: a job management system, a rota app, a compliance tool.

It's quick to start, proven and predictably priced. On the other hand you adapt to it rather than the other way round. You might need three separate packages that don't talk to each other, and you pay for features you'll never touch.

Custom-built

A developer or agency builds exactly what you specify.

It does precisely what you asked for. It's also expensive to build, expensive to change and dependent on the people who built it. When the developer moves on, small changes turn into big projects.

Configurable platforms

A general platform you shape yourself, usually with starting templates for your type of work.

It fits your process, changes when you do and can hold several processes in one place. The catch is that someone in the business needs to own the setup, and the quality of the templates makes a big difference.

Questions to help you choose

  • How different is our process from the industry standard?
  • How often do we change the way we work?
  • How many separate tools would we otherwise need?
  • Who in the business will look after it?
  • Can we get our data out if we leave?

If your process is standard and stable, off-the-shelf can be perfect. If it's truly unique and you have the budget, custom can make sense. Most growing firms sit somewhere in between, and that's where a configurable platform usually earns its keep.

OmniSchema is a configurable platform with a head start. Kits give you working pages for your type of business on day one, much like an off-the-shelf package, and Studio lets you change them without code. Jobs, rotas, safety checks, assets and invoices can all live in the same place.
