The main reason small businesses stay on spreadsheets isn't love. It's that switching feels huge and there's no obvious place to start. It doesn't need to be huge. Here's a plan that fits in a single working week.
Monday: pick one process
Don't move everything. Choose the one process causing the most pain. For most maintenance and facilities teams that's jobs: reporting them, assigning them and closing them. Everything else can wait.
Tuesday: bring your data across
Export your current job and customer lists as CSV files and import them. Don't wait until they're perfect. Fix the obvious problems, like duplicate customers, and leave the rest for later.
Wednesday: set up your people
Add the team and decide who sees what. Keep it simple: the office sees everything, engineers see their own jobs. You can refine it once you've lived with it.
Thursday: run both side by side
For one day, record new jobs in both places. It feels like double work, but it builds confidence and shows up anything missing before you rely on the new system.

Friday: switch, and tell everyone
Stop adding jobs to the spreadsheet and keep it as a read-only archive. Tell the team, and any customers who report faults, where new requests go from now on.
The week after
Collect feedback. What's annoying? What's missing? Make small changes each week rather than one big redesign. Then pick the next process, maybe planned maintenance or the rota, and do the same again.
OmniSchema is built for this approach. You start with a ready-made kit for the process you've picked, import your spreadsheet as a CSV and add more kits when you're ready. Sample rows show you how things work and disappear as soon as you add real data of your own.
