Invoices that match the work that was done

Queried invoices get paid late. Build them from the job record and they're clearer and harder to dispute.

A cost summary broken down by labour, parts and call-outs

Most small service businesses don't struggle to win work. They struggle to get paid on time for it. One of the commonest reasons for late payment is an invoice that doesn't obviously match what the customer thinks happened.

Why invoices get queried

  • The description is vague: "Maintenance works as agreed".
  • The date doesn't match when the customer remembers the visit.
  • Parts are listed with no explanation.
  • The customer can't tell which site or which request it relates to.

Build the invoice from the job

The simplest cure is to build the invoice from the job itself. The job already has the site, the date, the fault as reported, the engineer's notes and the costs. None of it needs retyping.

Say what was done, plainly

"Replaced failed thermostatic valve on reception radiator. Tested, no leaks after 20 minutes." That's far easier to approve than "Plumbing works". Good closing notes make good invoices, which is one more reason to make closing notes easy.

Send it to the right person

An invoice sent to the wrong contact at a customer can sit unopened for weeks. Store the billing contact once, properly linked to the customer, rather than guessing from a name.

Send it promptly

Invoices sent the day a job closes get paid faster than ones batched up at the end of the month. If building an invoice takes seconds rather than half an hour, you can send it straight away.

Get your own details right

If you trade as a limited company, UK rules require your registered name and company number on business documents, invoices included. Set it once so it's on every invoice automatically.

OmniSchema's Sales Ledger produces an invoice PDF and can email it to the customer directly. The customer is found through a real link from the invoice to your Customer Directory, never by guessing a name, and your own company name and address go on from your workspace branding.
