Stock: switching it on, stores, vans and items

Switch Stock on, choose who can use or manage it, and add your stores, vans and items with a reorder level.

What's in this video

  1. Stock keeps track of the parts and materials in your stores and vans: what came in, where it went, and what's left. It's included on the Starter and Growth plans. In Governance, open Company settings, then Add-ons.
  2. Find the Stock card, and turn the switch on. We've already switched it on for Ashgrove. If you ever turn it off, every record is kept.
  3. Under it is the daily low stock email. One email a morning, after seven, when something needs reordering. It goes to whoever buys in Purchasing, or to Governance if Purchasing is off.
  4. Next, decide who can do what. Open User roles. Each role now has a Stock setting: No access, Use, or Manage.
  5. Use is for engineers. They see stock levels, use parts on their jobs, and move stock between a store and their own van. Manage also adds items, stores and vans, receives deliveries, puts counts right, and reverses mistakes.
  6. Graham, our manager, will look after the stock. Click Edit on the Manager role, and under Stock, choose Manage. It saves straight away.
  7. Governance roles always manage Stock. Now open Stock, from the menu in your workspace.
  8. Start with the places you keep stock. Open Stores and vans, and click Add a store or van.
  9. We keep a few spares in the plant room at Hollybank House. Leave the type on Store, type a name, and click Add.
  10. Now a van. Click Add a store or van again, and choose Van. Give it a name, and under Whose van, choose who drives it. This one is Kieran's. Click Add.
  11. Kieran can now move stock between a store and his own van, and use parts from it on his jobs. Owen's van, Van 3, is already set up.
  12. Now the items you keep. Open Items. Here are the ones we've added so far. Click Add an item.
  13. Type its name, a code if you use one, and what it's counted in: each, metre or box. Then the usual supplier, and what it usually costs, before VAT.
  14. Low when at or below is the reorder level, counted across all your stores and vans. Usually order is how many you normally buy. Click Add item.
  15. It's added, with none in stock yet. In the next video, we'll receive a delivery, and move some of it to a van.
