Certificates: audit packs and exports
Make an audit pack for an inspector or a client: one ZIP with the original certificates and a spreadsheet index.
What's in this video
- When an inspector, an insurer or a client asks for proof, an audit pack gives them every certificate in one download. In Certificates, click Exports.
- Use the filters to choose what goes in: one building, one kind of certificate, a status, or a date range. Larkfield's managing agent wants everything for that estate, so choose Larkfield Estate.
- The line next to the button says how many certificates that is. Click Make audit pack. It's made in the background, so you can carry on working.
- It appears under Export history. While it's being made, the bar shows how many files have been checked. When it says Ready, click Download.
- The pack is a ZIP file. Inside, the original files are in folders by type: here, building and asset certificates. Job completion evidence and its files get a folder of their own.
- There's also a spreadsheet called index. It lists every certificate with its building, asset, job, dates, status, who verified it and its file name, plus a summary for each building.
- If a file couldn't be included, the index says so, with the reason, and so does Show files not included under Export history.
- Packs are kept for seven days, and only whoever made one, or a Governance admin, can download it. Staff qualifications stay in People, so they aren't in the pack.
- That's Certificates: one register, checked by your managers, with the gaps and the follow on work in plain sight.
