Stock: receiving, moving and putting counts right

Receive stock at a cost, see the average cost, move stock to a van, put counts right with a reason, and reverse a mistake.

What's in this video

  1. When stock arrives that isn't taken in through Purchasing, record it in Stock. Click Receive.
  2. Choose where it's going: Main store. Then the item, how many, and the cost each. That's what you paid, before VAT. Fifty compression elbows, at one pound ten each.
  3. For a second item on the same delivery, click Add another item. Ten filters, at six pounds sixty. Add the delivery note number, and click Receive.
  4. Stock keeps an average cost for each item. Our filters cost six pounds before, and these cost more, so the average goes up a little. Open Items to see it.
  5. That average is what a job is charged when the part is used. Next, give Owen some elbows for his van. Click Move stock.
  6. From Main store, to Van 3. Choose the item, and it shows how many are there. Ten, and click Move stock.
  7. Engineers whose role has Use can do this themselves, between a store and their own van.
  8. When a count is wrong, because something was damaged, lost, found or out of date, use Adjust.
  9. Choose where, and the reason. Then the item, Take away or Add, and how many. Owen dropped a filter on site, and cracked it.
  10. A note is always needed, saying what happened. Stock won't save an adjustment without a reason and a note. Click Save adjustment.
  11. Every change is kept in History: what changed, where, how many are left, the cost, and who did it and why. You can filter by item, by store or van, and by date.
  12. Nothing is ever edited or deleted. Say the filter was fine after all. Click Reverse on that line, say why, and click Reverse.
  13. The original stays in the history, marked Reversed, with the reversal next to it. So the record is always complete.
  14. In the next video, we'll use parts on jobs, and see what engineers get on their phones.
