People: Qualifications and training
See whose cards and tickets are running out, check new ones, add a qualification type and what jobs need it, and give training.
What's in this video
- Qualifications shows who holds which card or ticket, and when it runs out. There's a row for each person, and a column for each kind of card.
- A green tick means it's valid. A number is the days left before it runs out. A red cross means it's run out, and dots mean it's waiting to be checked. The warning sign marks a safety critical card: a job that needs it can only go to someone who holds it.
- On the right is Running out soon. Owen's site card ran out last month, Priya's first aid runs out in a few weeks, and Tom's Gas Safe after that. Book the renewals now, not on the day.
- Below that is Waiting to be checked. Staff can add a card from their phone, with a photo. Kofi added his first aid certificate. Look at it, and if it's right, click Checked.
- To add a new kind of card, click Qualification types. Our engineers now service air conditioning, which needs an F-Gas certificate.
- Type the name, choose the kind, and who issues it. Under Lasts, put how many months it's valid for. Then tick Safety critical, so no air conditioning job can go to someone without it.
- Click Add. It joins the list.
- Now open What jobs need. A kind of job says which cards it needs. Give it the same name as the Work Type on your jobs in OmniSchema, and when you reassign a job, OmniSchema shows who holds everything it needs.
- Type Air conditioning, tick F-Gas under Needs, and click Save.
- Tom has just passed his F-Gas, so let's add it to his record. Open Tom, then his Qualifications, and click Add a qualification.
- Choose F-Gas, and type the certificate number and the date it was issued. The expiry date fills in by itself, from how long it lasts.
- Click Add. It waits to be checked, until someone allowed to check cards looks at it and clicks Mark as checked.
- Training works the same way, for courses rather than cards. Open Training, and click Give training.
- Type the course, and the date it must be done by. Then choose who needs it: tick people one by one, or a whole team at once.
- Click Give to 3 people. The tiles count what's to do, what's overdue and what's done. Click a tile to see that list.
- Staff see their own cards and training under My qualifications, and add new cards there from their phone. In the next video, we'll book leave from a phone, and approve it.
