People: Adding someone's job, and their record
Add a team member's job, team, manager and working days, then look around their record: job history, documents and right to work.
What's in this video
- In the last video, we brought the team into People. Now each person needs their job. Most of ours are done, but Kofi Mensah still says No job yet. Click his name to open his record.
- People already knows his name and email, from Team members. There's no job yet, so at the top there's an Add their job button. Click it.
- Type his job title, and the date he started. The start date matters, because his leave and his timesheets are worked out from it.
- Choose his contract and the employer. Then his team, and the site he usually works from.
- Then choose his manager. This is the person who approves his leave and his timesheets, so it's worth getting right.
- Under When they work, tick the days he works and the hours a day. Kofi works Monday to Friday, eight hours a day. His holiday is worked out from this, so a part timer gets the right amount.
- Click Add their job.
- His record now shows his job, team, site and manager along the top, and that he's working. The Job card on the Overview says the same.
- Open Job and pay. Here's his contract, his working pattern, and the history. Changes are never written over: each one says from when, and why.
- Later, for a pay rise or a move to another site, click Change job or pay. You choose what changes, from which date, and why. I'll cancel this one.
- Now open Documents, to keep his contract with his record. Kind is already Contract. Choose the file, and click Upload. Only people allowed to see private details can open it.
- Next, open Qualifications. At the bottom is Right to work. Every employee needs a right to work check before they start, so do it on their first day at the latest. Click Record a check.
- Say how it was checked, the result, the date, and the document. A British passport has no time limit. With a share code, you also put when their permission ends, and People reminds you to check again.
- Click Save check. It now says Checked, with the date and how.
- Back on the People page, Kofi has his job, team, site and manager, like everyone else. For a brand new starter who isn't in OmniSchema yet, click Add a person instead: it's the same form, with their name and email at the top.
- In the next video, we'll add qualifications and training, and see whose cards are running out.
