People: Switching People on and bringing in your team
Switch People on in Company settings, bring your team in from Team members with one click, and choose what each role can do in People.
What's in this video
- OmniSchema People keeps your team's records in the same place as your jobs: who they are, their qualifications, their leave, and their hours. In this video, we'll switch it on, bring in the team, and decide who can see what.
- You need Governance access for this. In Governance, click Company settings, then the Add-ons tab.
- Here's OmniSchema People. Its price is on the card. You only pay for people marked as working, counted each month. Click How this works, to read more.
- If you switch People off later, nothing is deleted. The records wait until you switch it on again. Now click the switch, to turn People on.
- It says On. People is now in the workspace switch at the top, for the roles you give it. And two links have appeared: Open People, and Add my team to People.
- Click Add my team to People. Everyone in Team members gets a People record, and anyone who already has one is skipped, so nobody is typed twice. From now on, anyone you add to Team members gets one by themselves.
- Next, decide what each role can do in People. You set it for each role, not for each person. Open User roles.
- Each role now shows its People access. Owner has Governance access, so it always has full access to People. For every other role, you choose.
- At Ashgrove, Graham manages the engineers, and approves their leave and timesheets. So on the Manager role, click Edit.
- Under People, choose Manager: everyone. Managers then see the whole team, and approve leave and timesheets. Choose Manager: their team instead, if each manager should only see the people who report to them.
- Changes save as you make them. Click Done.
- Engineers and Staff stay on Own record only. They see their own leave, time and qualifications, and nobody else's.
- The other choices are for the office. Payroll sees timesheets and pay periods. Compliance sees qualifications. HR admin looks after everyone's records. And No People means that role can't open People at all.
- Two common mistakes. Don't give Staff a manager choice just to be safe: they'd see everyone's leave and hours. And check every role before you tell the team, because a role on No People can't open it.
- Now let's open People. Go back to Company settings, and click Open People. You can also use the workspace switch at the top.
- Here's the team, brought in from Team members. Each one says No job yet, because so far People only knows their name and email.
- So: Add-ons, switch People on, Add my team to People, then one People choice for each role in User roles. Next, we'll give each person their job.
