Connecting your lists to each other
Link jobs to customers, sites and team members, so each job shows who it's for and who's doing it.
What's in this video
- Connecting lists means one list points at another. A job belongs to a customer. So instead of typing the customer's name on every job, you pick the customer from your Customer Directory. The name is always spelled the same, and you can see every job for a customer.
- First, the Jobs list needs a column to hold the link. Open Database Hub, open our database, and open the Jobs list.
- Add a column called Customer. Then one called Engineer, for the person doing the job. Leave them as text, and close the window.
- Now go back to Home, open the app in Studio, and click Connect data.
- Every list in this app is a card, showing its columns. Here are Customer Directory, and Jobs, with our two new columns. The dotted card, Team Members, isn't a list. It's the real people who sign in to your company.
- To connect, press on a column, and drag it onto a column in another list. The column you drag from holds the link. The column you drop it on is what people will see. Drag Customer, from Jobs, onto Name, in Customer Directory.
- It's saved straight away, and listed under Saved connections. Jobs, Customer, links to Customer Directory, Name.
- Now the engineer. We want a real person from the team, not a typed name. Drag Engineer onto Any team member.
- That's two connections. Let's see what changed. Open your app, and go to the Jobs page.
- Click a job to open it, and click Edit.
- Customer is no longer a box to type in. It's a list of your real customers, straight from Customer Directory. Choose one. If the customer is new, Add someone new adds them on the spot.
- Engineer is a list of the people in your team. Choose who's doing the job, and click Save.
- The job now shows its customer and its engineer. Because they're links, not typed words, the names are always spelled the same. And look at Assigned to me: it's now one, because this job is linked to Chris, who is signed in.
- Made a connection by mistake? Go back to Connect data, and click Remove next to it. Kits connect their own lists for you. When you build your own lists, connect them here, the same way.
