Blocks: Table

Every Table setting in detail (columns, sort, filters, size, matrix views), then everything your team can do with it: periods, quick filters, saved views, grouping, exports and QR labels.

What's in this video

  1. The Table is the block your team will use more than any other. In this video we'll go through every one of its settings, one at a time, and then look at everything your team can do with it. Search for Table and click it.
  2. First, give it a name your team will understand. I'll call it All jobs.
  3. Then, under Data source, choose the list it shows. Work Orders. The table fills with real rows straight away.
  4. Now the columns. To start with, the table shows the first six columns of the list. You don't have to show everything: pick the ones your team needs to see at a glance.
  5. To add a column, tick it. Let's tick Due, so everyone can see when each job is due. It appears at the end.
  6. To take a column away, click Remove next to it. Asset isn't needed on this page, so I'll remove it.
  7. To change the order, use Up and Down. Let's move Due up, so it sits next to Priority.
  8. If you ever want to start again, Reset to default puts the first six columns back.
  9. Next, Sort. This sets the order the rows are in when the page opens. Choose Due.
  10. Next to it, Ascending puts the earliest date first, so the most urgent jobs are at the top. Descending puts the latest first.
  11. Now Filters. A filter decides which rows the table shows. Click Add filter, then choose a column, how to compare it, and a value. Let's hide closed jobs: Status, Not equals, Closed.
  12. Look at the table: the closed jobs have gone, and only the open ones are left.
  13. You can add more than one filter, and a row has to match all of them. For example, a second filter, Priority equals P1, would leave only the urgent open jobs.
  14. Under each filter there's one more choice: Viewers can change this. No means the filter is fixed, and nobody using the app can switch it off. Yes makes it a starting point, which people can change with a Select or a search box on the same page.
  15. Table size sets roughly how many rows show before people have to scroll. Compact shows about fifteen.
  16. Expanded shows about a hundred, and Full page shows every row. For a list people work through every day, a bigger size is usually better.
  17. Hide table filters and views takes away the bar of buttons your team sees above the table. Tick it when you want a plain, simple list. I'll leave it off, because those buttons are very useful.
  18. Table type gives you two more ways to look at the same rows. Choose Matrix, counts. Then pick a row field and a column field. Site, and Status.
  19. Now each site has a row, each status has a column, and every box counts the jobs. So you can see at a glance which building has the most work waiting.
  20. Matrix, values, is laid out the same way, but each box shows the value of one column instead of a count. It suits things like a yes or no for each building and each check. Let's go back to List.
  21. That's every setting. Now click Preview, to see the table the way your team will.
  22. Above the table is a bar of tools, for the people using the app. They never change your settings; they only change what that person is looking at.
  23. This box chooses the time period. Job lists start on This month. People can widen it to the last three months, or all time.
  24. The quick filters are one click each. Overdue shows only the late jobs.
  25. As soon as a filter is on, Save current as view appears. It keeps the filters under a name, so next time it's one click to get back to them.
  26. Click Overdue again to turn it off.
  27. Assigned to me shows only my own jobs, and there's a button for each person, too. Priya Shah shows Priya's jobs, and All goes back to everyone.
  28. Filters lets each person filter by any column, just for themselves, without changing the page for anyone else. To put a search box on the page, add an Input Group block. It has its own video.
  29. Group by puts the rows into groups. Choose Status, and the jobs are gathered under each status.
  30. Export CSV and Export Excel save the rows people can see to a spreadsheet. QR labels prints a sticker for each row, to stick on the boiler or the room it belongs to.
  31. Click a column heading to sort by it. Click Priority once, and the most urgent jobs come first.
  32. And finally, click any row to open it. Everything about the job is here, with its Start and Close buttons, its history, and Open full page for even more room.
  33. So that's the Table: choose the list, the columns, the order and the filters, and your team gets a list they can search, sort and work from every day.
