Blocks: KPI Summary

One important number from a list: count, sum, average and more, with filters, and a click through to the rows.

What's in this video

  1. A KPI Summary shows one important number in big type: how many jobs are open, how much you've invoiced, how many tasks are overdue. Search for KPI and click KPI Summary.
  2. Give it a name that says what the number means. The name is shown above the number.
  3. Under Data source, choose the list the number comes from. Choose Work Orders.
  4. Calculation decides how the number is worked out. Count counts the rows. Distinct count counts different values, such as how many sites have jobs. Sum, Average, Minimum and Maximum work on a number column, such as cost.
  5. Right now it counts every job, closed ones too. To count only open jobs, add a filter. Click Add filter, choose Status, then Not equals, and type Closed.
  6. The number drops straight away, because closed jobs are no longer counted.
  7. Let's add a second KPI, for money. Add another KPI Summary, call it Total cost, connect it to Work Orders, and choose Sum.
  8. With Sum, a new setting appears: Value column, the column to add up. Choose Cost.
  9. Click Preview to see them as your team will.
  10. Two clear numbers. And a KPI isn't just a number: click it, and its list opens, so you can look at the rows yourself.
