Who sees which rows
Everyone, Assigned to me, I created, or In my sites, and what an engineer sees compared with the owner.
What's in this video
- Not everyone should see every row. An engineer might only need their own jobs. In this video, I'll show you how to choose who sees which rows in a list.
- Each list in Database Hub has a Row visibility setting. Here's our Work Orders list. It's set to Everyone in this app, so every signed-in person sees every job.
- Let's change it to Assigned to me. Now each person only sees the jobs assigned to them.
- Here's what Sam, one of our engineers, sees when he signs in and opens Work Orders: only his own jobs.
- One thing to know: a job counts as his because it's linked to his login, when someone picks him as the assignee, or reassigns the job to him. Just typing a name somewhere doesn't link it.
- Managers and admins with Governance access still see every row, so nothing is hidden from the people running the company. Here's the owner's view: all the jobs.
- There are two more choices. I created shows each person only the rows they added themselves. In my sites shows only the rows for the sites they look after. You set each person's sites in Team members.
- For our company, we'll put it back to Everyone in this app. Pick whichever matches how your business works. You can change it any time, and it applies straight away.
