Purchasing on the phone: orders and taking in a delivery

On the phone: follow an order, take in a delivery with part of it sent back, and record the rest when it arrives.

What's in this video

  1. When a delivery turns up on site, whoever takes it in marks it as received, on their phone. This is Owen's phone. Along the bottom are Home, Requests, Orders, Deliveries, and Menu.
  2. Tap Orders. Every order sent to a supplier is here, with where it's up to. They all say Sent to supplier: nothing has arrived yet.
  3. Tap the filters order. The line at the top shows each stage: requested, approved, ordered, confirmed by the supplier, delivered, the bill, and paid. The current stage is highlighted.
  4. Kestrel has just brought the filters, but one box is crushed. Tap Deliveries. Everything on its way is listed here, with what's still to come.
  5. Tap Received, next to the filters order.
  6. For each item, put in how many arrived now, and how many were sent back. Three filters are fine. One is crushed, so it goes back with the driver. Arrived now: three. Sent back: one.
  7. If you can, take a photo of the delivery note. It's kept with the order, and it settles any question later about what really came.
  8. Add a short note, then tap Received.
  9. The order is still under On the way, with one filter still to come. Open it, and the line shows three of four delivered, in amber, and the order says Part delivered.
  10. The mistake to avoid is putting in what was ordered, instead of what actually arrived. Count what's in front of you. The supplier's bill is checked against what you say arrived, so a wrong number can mean paying for something you never got.
  11. Two days later, the last filter arrives. Tap Record a delivery. The one still to come is already filled in, so just tap Received.
  12. Now the order says Delivered, and Delivered is ticked on the line at the top. In the next video, we'll see what happens when the supplier's bill comes in.
